Industry: Nonprofits and community organizations
AI for small nonprofits.
We work with small nonprofits, community organizations, and family foundations across the Portland metro area and Southwest Washington. Small nonprofits run on the same fundamental tension: more mission than capacity. AI helps directly with that, especially in the parts of the work that drain executive director and program staff time (grant writing, donor communications, volunteer coordination, board reporting).
We work with nonprofits at our standard hourly rate. We do not offer a nonprofit discount as a matter of practice, but we do scope tightly and recommend free or low-cost tools wherever they fit. Nonprofits also benefit from generous AI vendor pricing tiers (Microsoft 365 Nonprofit, Google Workspace for Nonprofits, both of which include AI features at heavily discounted rates) that we'll help you take advantage of.
Where the hours go.
These are the recurring time sinks we hear about most from nonprofits and community organizations in our service area.
- Grant writing eats executive director time during cycles.
- Donor communications (acknowledgments, year-end appeals, impact reports) fall behind constantly.
- Volunteer recruitment and coordination is manual and inconsistent.
- Board reporting and program reporting consume hours that should go to program work.
- Social media and marketing rarely get the attention they need.
Where AI actually fits.
The specific implementations we run for nonprofits and community organizations. Each is scoped, quoted in writing, and capped at a not-to-exceed price.
Grant prep and drafting support
AI-assisted first drafts of grant applications, LOIs, and reports against your existing program data. ED reviews, adjusts, and finalizes. Cuts grant cycle time by a third or more for most small nonprofits.
Donor communication automation
Drafted thank-you letters, donor segment-specific communications, year-end appeals, and stewardship touchpoints. Personalized per donor from your CRM data, queued for review.
Volunteer coordination
AI-assisted volunteer onboarding workflows, shift reminder communications, and post-event thank-yous. Reduces the administrative load on the volunteer coordinator.
Board and program reporting
Recurring board packet drafts and program reports assembled from program data with AI-drafted narrative. ED interprets and finalizes.
Nonprofit-tier AI setup
Configuration of Microsoft 365 Nonprofit, Google Workspace for Nonprofits, and other vendor-discounted AI options to keep your software spend as low as possible while still getting real capability.
What this isn't for.
Where AI isn't the right answer in this industry. Knowing this up front saves everyone time.
- The mission strategy. Board judgment and executive vision are not AI-shaped problems.
- Replacing the donor relationship that funds the work.
- Sending donor PII or sensitive program data to consumer-grade AI accounts.

FAQ
Questions from nonprofits and community organizations.
- Is AI appropriate for grant writing?
- Yes, as a drafting assistant. Funders increasingly assume some level of AI-assisted writing in applications and care more about whether the proposal is accurate, specific to your organization, and aligned with their priorities than whether AI helped produce the draft. We set up workflows that produce a strong first draft from your real program data, which the ED then edits to add specificity, voice, and judgment. We do not recommend submitting AI-drafted applications without that review step.
- Can our small nonprofit afford AI consulting?
- Most nonprofits we work with engage with a $375 written audit followed by one or two small implementation projects in the $500 to $1,500 range. Total first-year spend typically lands between $1,500 and $3,500. Combined with the savings from nonprofit-tier vendor pricing on the AI tools themselves, the net effect is usually positive within the first grant cycle.
- Do you offer a nonprofit discount?
- Not formally. We bill the same scope tightly. Our approach is to spend our hours on the highest-leverage workflows so the total bill stays small, rather than discount our rate. If budget is genuinely the blocker, we'll point you to free tooling options and DIY guides instead.
